Continuous and healthy growth requires qualified and motivated employees in all departments. We currently have an opening in Irvine, California for an experienced SALES & CUSTOMER COORDINATOR. Candidate must have RMA experience. This is a full-time office-based position, Monday-Friday (no hybrid/no remote work schedule).
The Sales & Customer Coordinator and will assist in the organization and administration of the daily operations within the Customer Service Department. The ideal individual will be a hard working professional able to undertake a variety of office and sales support tasks and work diligently under pressure. Return Merchandise Authorization (RMA) experience is required for this role. This role requires a high degree of attention to detail, ability to think outside the box and provide possible solutions to problems. In addition, the Sales & Customer Coordinator must possess excellent interpersonal communications skills as you will be in direct communication with line staff, field team members and executives. - -Minimal Responsibilities, but not limited to:

  • Open and maintain customer accounts (office file and ERP/CRM systems)
  • Answer and manage/resolve incoming phone calls, emails and forward as required.
  • Process and expedite quotes, sales orders, and invoices.
  • Generate and maintain rental and service agreements.
  • Monitor incoming and outgoing joimax - product shipments and returns.
  • Assist with Customer Complaints.
  • Partner with the Logistics Department to track consignment/loaner products and inventory.
  • Run daily reports and update spreadsheets with pertinent information.
  • Adhere to operational and quality procedures for optimum efficiency and quality output.
  • Support operational and quality objectives.
  • Maintain accurate office filing.
  • Maintain a positive, empathetic and professional attitude at all times.
  • Work cross-functionally to coordinate activities and find appropriate solutions promptly.
  • Ensure that customers (internal and external) are satisfied with products and services.
  • Escalate queries and concerns.
  • Perform other tasks or projects as assigned by Supervisor
    Minimal Qualifications (but not limited to):
    • Requires minimum 3 years experience as Customer Service Representative, RMA coordinator, in the following industries - medical device, aerospace, automotive,
    • Must have Return Merchandise Authorization experience.
    • Possession of numeracy and literacy skills to be able to perform simple calculations on the spot.
    • Proficient in MS Office, Outlook, and Excel.
    • ERP system experience preferred, not required.
    • Serial number/expiration date tracking preferred, not required.
    • Thorough understanding of office management skills.
    • Excellent verbal and written communication skills as well as organizational and time management skills.
    • Analytical abilities and adept at problem-solving.
    • Aptitude for high pressure environments with ability to multitask and perform time driven tasks effectively.
    • Ability to answer high volume of calls and/or emails daily.
    • Ability to stay calm when customers are stressed or upset.
