Summary
The Senior Analyst, Rail Operations will be responsible for monitoring and coordinating all rail shipments at loading facilities to final destination railheads to ensure timely and damage free delivery. They will work with rail vendors on a daily basis and ensure data transmissions are received in ITMS promptly and correctly. Analyst will also regularly report to our customers with any reports and information when requested. Will also be tasked with clearing rail audit holds and contract management within ITMS to ensure timely payments to our rail vendors.
Responsibilities


  • Primary Responsibilities

    • Process and audit invoices from rail vendors, both manual and EDI
    • Research, analyze, & resolve discrepancies with carriers resulting from audit holds
    • Review manual Invoices and backup for exactness and ensure proper documentation/approvals are provided (i.e., transportation, fuel, storage, and all others)
    • Ensure all EDI files received from vendors are received in a timely manner as well as validated for correctness
    • Troubleshoot invoicing and delivery file transmission issues for the vendors, identifying root cause errors
    • Monitor and track missing waybill/shipping records on vehicles and communicate to vendors to submit
    • Manage billing aging and ensure all AP accounts with rail vendors are current
    • Provide monthly and quarterly shipment forecasts to vendors to ensure our carriers are properly assigning the correct number of resources to a given territory
    • Identify and monitor issues resolution process and manage escalated items that need higher level attention


    • Secondary Responsibilities

      • Guide and support daily transit time of railcars, ensuring adherence to transit time goal hours specified in our contracts
      • Request shipment reports and ETAs from rail vendors to report to our customers
      • Communicate with the vendors on any potential dealer and customer requested holds. Ensure all parties involved are well-informed and up to date with any new information
      • Maintain a smooth rail inbound pipeline and ensure steady unloading of vehicles
      • Assist the Quality Control with conducting test loads


      • Tertiary Responsibilities

        • Guide and manage the root cause analysis and review CR requests to IT for system improvements
        • Monitor IT CR and ticket statuses and work with IT to prioritize tasks and facilitate steady progress
        • Monitor project progress and advise next steps to the team and report any abnormalities
        • Monitor all operational reports and logs
        • Create ad hoc reports for management as requested
        • Special project assignments from management



          Compensation Range
          $55,000- $65,000 Annually

          QualificationsSkills

          • Excellent written and verbal communication skills
          • Proficient with Microsoft Office- Excel, Word, and PowerPoint
          • Intermediate computer skills - word processing, web navigation, manage files, and create presentations

            Education & Experience

            • High School Diploma/G.E.D required
            • 1 year OR an equivalent combination of education and experience

              Physical Requirements

              • Ability to sit in front of a desk and/or in front of the computer for long periods
              • Repetitive use of hand/grasping product, writing, and typing
              • Stand/walk
              • Ability to travel domestically- 10% of the time
