He/she should be articulate and be able to speak clearly on the phone. The incumbent is responsible for facilitating university purchases for the IT department, and following the defined processes and procedures in the completion of purchases. This position is also responsible for inventory management and working closely with the Service Desk manager to keep proper inventory levels. The Procurement Technician must be able to independently maintain data in appropriate enterprise and records systems, administer telecommunications records, invoices and associative service agreements, and track forms. Moreover, he/she must have excellent judgment skills to be able to properly evaluate situations and immediately provide effective solutions. New hires must be fully vaccinated against COVID-19 and demonstrate proof of vaccination upon hire, unless approved for a disability or religious accommodation This position is currently working remotely but starting October 4, 2021 will be returning to the Irvine office. New employees are eligible to request a hybrid flexible work arrangement (including up to three days per week of remote work) after one month of continuous service in good standing in the University's Pilot Voluntary Flexible Work Arrangement Program. TYPE OF SUPERVISION RECEIVED: * The incumbent will receive instructions, direction, and guidance from the Assistant Vice Chancellor of Technical Services which may include some work assignments from others POSITION DUTIES AND RESPONSIBILITIES: Essential functions: 100% of time * Enter and maintain all telecommunications and data service records, invoices, and associated agreements * Periodically review data for accuracy and integrity * Accuracy and timeliness are paramount to this function * Act as a coordinator for university technology purchases, helping to effectively facilitate ordering needs for the university, and keeping accurate records of all transactions in enterprise systems * Manage and maintain computer inventories by location, as well as managing inventory room stock levels * Maintain departmental files; file information on a timely basis and provide information as requested and authorized * This includes professional contacts information, travel documentation, purchase history and university technology inventory information * Receive and share documents as requested and authorized with campus directors, administrators, and Senior Staff * Prepare correspondence for signature, work with managers to maintain supplies and forms; work with managers to order stock as needed, and track forms and secure signatures on forms as needed * Other related duties as assigned Non-Essential Functions of the Job: * None identified at this time POSITION SPECIFICATIONS AND REQUIREMENTS: Special Conditions of Employment: Position may be required to work flexible hours particularly given campuses' extended hours of operation, and may require occasional weekend and/or evening work. Previous Experience: Required: * Three years of administrative experience in a busy office handling multiple priorities * Experience working with confidential information * Demonstrated strong data entry and word processing skills; experience using MS Excel, and other Office tools * Ability to effectively manage inventories and maintain updated records of inventory levels Desired Qualifications: * Experience with scanning/archiving programs * Experience with file management and/or work in an information technology office; experience in higher education * Previous experience with procurement processing * Familiarity with inventory management software platforms Knowledge and Education: Required: * High school diploma or equivalent with a minimum of two years' college coursework in information technology, business, or related field * Excellent communication skills and ability to interface with diverse individuals Desired Qualifications: * Bachelor's degree in business, information technology or related field * Prior experience in an academic environment * Experience working with an enterprise system such as Ellucian/Banner or Datatel * Knowledge of UMass Global policies and procedures Machines, Tools, Equipment, Electronic Devices and Software: Personal computer; document imaging or scanning software and equipment; Microsoft Office Suite; knowledge of filing systems Contact with Students: Some contact with students Contact with Faculty and/or Staff: This position includes contact with faculty and staff on a daily basis Contact with Community and Vendors: This position includes frequent contact with vendors, but minimal contact with the community Please Note: Internal Employees, please use the Workday Dashboard career section to apply for the position.
