Job Description:

The Workplace Services Coordinator will report to the Workplace Services Supervisor for the Irvine Salesforce Office. The person in this role is the face of Salesforce, providing that essential first impression to our guests and serving as a constant resource for our employees. This role consists of multi-faceted responsibilities with a high emphasis on customer service & workplace best practices to creatively support Salesforce s efforts to extend its unique company culture and employee experience. Additional skill sets include a strong customer service mindset, conscientious, strong interpersonal skills, analytical skills, meticulousness, innovation and agility to execute on multiple initiatives. The WS Coordinator must demonstrate proven success in a dynamic and fast-paced environment with high communication skills.

Deliver a guest experience that is unique and brings the Salesforce brand to life.
Handle all guest and employee interactions with the highest level of hospitality and professionalism, ensuring we are always managing expectations
Accommodate special requests whenever possible and resolve all customer inquiries, issues, or complaints promptly and graciously
Ensure the reception area and customer-facing conference rooms are properly displayed and show-ready; requesting facilities support via the ticketing system as needed
Serve as an information hub for our staff on a daily basis
Maintain a presence on Slack, sending periodic reminders
Update our Hub Slack channel to ensure that new employees are added weekly
Maintain and update team documents, playbooks, and Guest Services Tools
Identify and respond to service gaps, misses, and problems with a focus on both the guest experience and continuous improvement
Fully understand global expectations around the front desk operations, including greeting of clients, badges, visiting employees, stickers, hospitality services, and providing a concierge level of service to employees and guests
Train and coach new Guest Services Employees, Interns, and Contractors to deliver the highest level of hospitality and customer service at the front desk
Maintain an electronic inventory list of temporary access cards assigned to staff and vendors that ensures all cards are accounted for and returned daily; communicating lost or damaged cards to the security team for cancellation
Work in tandem with our Workplace Shipping Specialist by maintaining and managing the onsite mailroom(s); implement check-in/out process, perform weekly audits, and supply ordering and organization
Receive and maintain inventory incoming packages monthly from FedEx/UPS/Courier packages and notify/distribute to employees through the ticketing system
Respond to cases through our internal work order system
Assist or manage special projects or stretch assignments as needed
Required skills
Three or more years of customer service or hospitality experience
Self-starter; handles self with minimal supervision and is pro-active
Ability to plan and organize work in the required areas
Being able to establish and maintain cooperative working relationships
Excellent interpersonal communication skills
Ability to thrive in a constantly growing and changing fast-paced environment
Proficient at using the Microsoft Office Suite and Google Docs
Must be willing/able to learn and use our internal *** software application
Must have a great can-do attitude and willingness to complete the job
Excellent problem-solving skills with the ability to creatively negotiate demands
Results-oriented, customer-driven, and organized with attention to detail
Ability to assess and prioritize workload in a strict deadline-oriented environment
Thrive on teamwork and overcoming obstacles
