Job Description:

We're looking for an Operations Specialist to help our PR agency run like a well oiled machine. You'll be the glue that ties all the pieces together with your keen attention to detail, reliability, resourcefulness, and incredible project management. This role is equal parts project management, administrative support, and process improvement. You'll work closely with our Chief Publicity Officer to help maximize her time, productivity, and effectiveness. As a trusted advisor, you'll play an important role across our agency, helping us operate smoothly and continue to build an incredible culture.

What you'll do:

  • Attend key team meetings, taking notes and assigning deliverables and tasks to team members
  • Manage and support the sales process, from pitch to contract to kick-off, including CRM updates and cross-functional collaboration
  • Maintain and update our project management tools, including creation and oversight of project management processes, assigning deliverables to team members and following up as needed to make sure the trains run on time
  • Draft and ghost write emails and agency communications, create decks, and organize agency events
  • Respond and ghost write social media messages, posts, ect for Chief Publicity Officer on behalf of Super Connector Media
  • Send gifts and recognition to clients, media contacts, partners, etc
  • Maintain and manage various trackers: budget, media connections, and time management
  • Schedule and coordinate meetings for Chief Publicity Officer support with managing her calendar
  • Support with onboarding and off-boarding of new team members
  • Book travel as needed and support the team with special projects, events, etc
  • Create new and efficient work processes to help maximize teams' time, including reporting, goal-tracking, and business development tasks
  • Create and maintain strong relationships across the organization

    • A minimum of 4 years of direct hands-on experience in an administrative or operations role
    • Experience in an agency and/or fast growing start up is preferred
    • Experience with Gsuite, ClickUp, Zoom, and Slack with the ability to learn new tools quickly
    • Excellent interpersonal communication, strong writing skills, and highly organized
    • A team player who is proactive, flexible, results-oriented and comfortable in a rapidly scaling organization
    • Ability to work independently and under the pressure of deadlines
