Job Description: Ephesoft is looking for a competent Office Coordinator to perform various administrative and clerical tasks to support the Irvine Headquarters. The ideal candidate will be familiar with customer service, office equipment and procedures, having effective communication and organizational skills. Our ideal Office Coordinator will have the ability to work diligently to help maintain smooth office operations, having the ability to function independently after first learning processes. This role requires a self-starter who can see what needs to get done, while prioritizing work efficiently for the best outcome. A qualified candidate will have some experience working in a similar role in an office environment as the main point of contact. The right person will know how to handle many situations such as routine, predictable, and unforeseeable events. Responsibilities include but are not limited to: Being present at the front desk and perform all basic receptionist duties including monitoring, answering, routing inbound phone calls to appropriate person(s). Welcome visitors by greeting them, in person or on the phone; answering or referring inquiries. Have guests log into the Envoy system and issue visitor badges; providing further instructions to the purpose of visit. Ensure that common areas such as the lobby and break room are organized and presentable. Communicate major announcements and important information to employees. Coordinate deliveries and shipments of packages as well as sort and distribute daily mail. Plan company events and provide other assistance with office-wide activities. Provide support to office management, finance and talent functions. Assist Accounting Department with AP/AR administrative duties as requested. Assist Human Resources and Recruiting Department with daily task as requested. Book travel reservations as-needed for visiting executives, customers, employees, candidates, etc. Orders office supplies and restock when there are shortages Coordinate the setup, delivery and cleanup of weekly breakfasts and lunches. Oversees monthly birthday celebrations Assist Human Capital Department with scheduling interviews as needed. Assist with prep and logistics for quarterly client and customer training classes. Oversee building security, office safety, first-aid kit, and maintenance. Ensure that all aspects of the building meet city safety code regulations. Coordinate annual water backflow testing, elevator inspections, etc. Assist Marketing department with tradeshow events as needed. Maintain building seating chart. Run miscellaneous office errands as needed. Perform general administrative/clerical duties as assigned. Requirements: 2+ Years of Office Coordinator experience or relevant office support experience. Proficiency at Office product suites (Docs, Word, Sheets, Excel and Google Calendar). Knowledge of Google Apps (G-Suite). Professional and positive attitude Strong verbal and written communication ability. Strong organizational skills and able to multitask well. Strong attention to detail. Experience scheduling interviews or managing appointments using scheduling tools (Google suite). Experience planning and organizing both small and large-scale events. Proficiency with Adobe Illustrator, Photoshop, Canva, or other design-related programs. Experience managing phones and the front desk in a fast paced environment.
