The primary responsibilities of this position involve accomplishing administrative tasks to assure compliance with federal financial aid laws and regulations involving: calculating the amount of federal and state funds that must be returned when students withdraw and ensuring the funds are returned within government deadlines; revising awards when students change their academic programs, enrollment status and degree requirements; making initial financial aid awards and notifying students; verifying accuracy of applicant data of students in special circumstances; and advising members of the Brandman community about financial aid rules and policies.

This position will be working remotely at least until June 25th if not longer but will eventually be based out of the Main Irvine Campus.

TYPE OF SUPERVISION:

Receive general supervision from the Manager, Financial Aid Systems.

  • General Supervision - indicates that the incumbent performs a variety of duties; some of which may be complex duties within established policy guidelines; and receives occasional supervision.

POSITION DUTIES AND RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:

  • Calculate the amount of funds that must be returned to government and institutional financial aid accounts when a student withdraws from school, modifies enrollment status (full time to three quarter time, etc.), changes academic programs, or has revised degree requirements.
  • Ensure communications to students regarding return of federal funds and changes to their awards are timely and accurate.
  • Process routine program changes and refer all others to the Manager, Financial Aid Systems.
  • Maintain documentation of procedures for Return to Title IV Funds and program change processing.
  • Inform faculty, staff, financial aid office colleagues, and all other interested parties of laws, policies, and procedures relative to financial aid.
  • In accordance with all applicable laws, regulations, and policies, determine student eligibility for federal, state, and university programs. Adjust financial aid awards for withdrawn students, students who change their enrollment statuses, and students who experience changes to their degree requirements. On occasion as needed, make initial financial aid awards to students.
  • Make the Director and/or the Assistant Vice Chancellor aware of any issues that may compromise compliance with laws, regulations, and policies. Should such issues remain unresolved, inform the Executive Vice Chancellor of Enrollment Services.
  • Maintain up-to-date knowledge of federal regulations. Assist the Director in the development and implementation of policies and procedures to comply with changes in governmental laws and regulations.
  • Assist with verification processing during peak periods.
  • Serve as an office resource on need analysis and verification (demonstrate expertise in complicated tax returns, non-traditional family relationships, hidden income and assets, etc.).
  • Participate in audits of financial aid operations especially as they relate to changes in enrollment, academic programs, and degree requirements.
  • Exercise independent judgment in interpreting and applying policies and procedures and develop solutions to difficult situations where precedent may not exist.
  • Foster high morale within the financial aid office to assure staff job satisfaction and cohesiveness of effort in meeting university and office goals.
  • Assist with developing the University's student loan default prevention program including monitoring of exit counseling completion.

POSITION SPECIFICATIONS AND REQUIREMENTS:

EDUCATION, EXPERIENCE, CERTIFICATION AND/OR LICENSES:

  • Bachelor's degree or the equivalent in experience.
  • At least three years of experience in the student financial aid field and comprehensive knowledge of governmental laws and regulations especially as they pertain to return to Title IV funds for withdrawn students in programs with a modular academic calendar.

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES: (Desired)

  • Thorough understanding of need analysis, student budgets, and Federal financial aid packaging regulations
  • Ability to communicate clearly and accurately complex procedures and eligibility rules to the Brandman community.
  • Ability to utilize knowledge of laws, regulations, and University policy into effective, efficient, and compliant financial aid awards to students.
  • Writing skills to enable clear, concise correspondence using proper English.
  • Sound interpersonal skills to relate sympathetically and sensitively with others yet with sufficient detachment to communicate understanding of rules, procedures, and policy. Ability to establish and maintain effective, cooperative and harmonious relationships with students, parents, staff, co-workers, and the general public.
  • Ability to incorporate changing rules, procedures, and policy into job.
  • Ability to organize tasks and prioritize duties when faced with interruptions, distractions, and fluctuating work load
  • Ability to exercise sound independent judgment and personal initiative.
  • Knowledge of general accounting principles and practices as they relate to student financial aid programs and reporting.

Machines, Tools, Equipment, Electronic Devices and Software:

  • Demonstrated ability to learn and utilize computer software systems. Knowledge of computer software systems including Microsoft Office, NSLDS, COD, Banner, and Regent Award is preferred
  • Ability to use standard office equipment: telephone, copier, fax, PC, computer printers, etc.

SPECIAL REQUIREMENTS:

Working conditions are normal for an office environment. Position may be required to work flexible hours particularly given campuses' extended hours of operation and may require occasional weekend and/or evening work. Applicants for this position are subject to a background check and a criminal history review. Incumbents in this position are subject to a credit review. A US Department of Education check is required; the applicant must not be in default on a student loan or owe an over-payment on a federal grant
