Position Summary:

The Cognitive Sciences department in the School of Social Sciences at UC Irvine seeks a highly motivated, self-starter to provide assistance to the MSO, Chair, faculty, students, programs, and initiatives. As a member of the School of Social Sciences, the incumbent is tasked with upholding and exemplifying excellence in the University's core competencies-- job mastery, goal accomplishment, enterprise contribution and innovation-- while representing the MSO, Chair and Department to the campus. The Department of Cognitive Sciences is comprised of 27 senate faculty, 3 non-senate faculty (lecturers), over 1100 undergraduate students, and 60 PhD students, with approximately 40-45 Teaching Assistants per quarter.
This position has primary responsibility for the overall management of the graduate programs in the Department of Cognitive Sciences. Responsibilities include graduate student advising/counseling, interpretation of program, university polices, regulations, and requirements, evaluation and monitoring of student progress and fulfillment of degree requirements, and the entirety of the annual admission process including the recruitment visit. Serves as key advisor to the Graduate Director, Department Chair, Department Administrator, and advisory committee on all programmatic and administrative matters regarding the graduate program. Manage budget and financial planning for block allocation, and handle the appointment of GSRs.
In addition, this position is responsible for the interpretation and application of appropriate policies and procedures, including fund restrictions, in order to process reimbursement and travel requests for department seminar program, colloquia, faculty recruitment, graduate student recruitment, and all other department related matters.

Compensation Range:

Hourly $23.58 - $32.06

Required:

2-3 years of relevant experience in financial administration with a BA/BS, or an equivalent combination of education and experience.
Demonstrated skills to independently analyze situations, interpret data, define problems and objectives, identify relevant factors, and formulate logical conclusions, using creativity and innovation to develop recommendations and options.
Demonstrated skill in financial analysis, planning and administration with complex budgets from multiple fund sources. Knowledge of accepted UCI accounting practices.
Experience analyzing and organizing complex information and the proven ability to produce clear, comprehensive and complete reports based on that analysis.
Demonstrated organizational skills to coordinate and prioritize multiple complex duties, paying attention to detail and deadlines when faced with high volume and fluctuating workloads, and following through on assignment completion with minimal direction.
Superior ability to diplomatically communicate, articulate and work effectively with a diverse population. Ability to maintain confidentially in all business matters.
Excellent English writing and communications skills and proven ability to compose professional reports, correspondence, policies and practices, and training materials.
Demonstrated experience in the use of personal computers and Microsoft Office, Microsoft Word, Excel, FileMaker Pro and PowerPoint.
Skill to design, develop, and implement computerized tracking systems.

Desired:

Knowledge of UCI policies and procedures to include Uniform Guidance, general accounting (travel,) and low value purchasing (Procurement Card). Demonstrated experience in UC financial information systems including Data Warehouse. Experience with contract and grant budget preparation, analysis and projection. This includes cost and revenue analysis, projecting income and expense trends, preparing income and expense statements, and preparing financial projections. Knowledge and experience in the submission procedures for NSF Fastlane, Cayuse, and Kuali Research to create a variety of technical and non-technical materials.
Knowledge of the Registrar s computer systems and functions such as ESOC, Schedule R25, WebAdmin and WebGrades.
Knowledge of University course enrollment and registration policies and procedures and student information policies.
Knowledge of UCI campus departments and central administrative offices, their services, roles and responsibilities, and ability to work collaboratively with these personnel.
