Job Description:

The primary responsibilities of this position will include the operations of personnel unit or program providing HR support to the company. Under Management supervision the HR Coordinator works within general method, procedures, and exercises considerable independent judgment to select proper course of action. Job duties require knowledge of the policies, procedures, and regulations of personnel management and human resources development programs and other employer/employee relationships. Essential Job Functions Heavy Recruitment Assistance Processes new hire paperwork for payroll and work authorizations Sends new hire packet and notifies IT, office management and department of the new hire of the start and needs Enter/update all employee information in various systems and trackers Conduct HR administrative audits as assigned by Manager. Notify HR Manager when an employee or HR record is out of compliance Prepares, processes and distributes payroll/paychecks under the direction of HR Manager. Track and notify Managers of staff member's 90 day and annual evaluation due dates. Take ownership and follow- through with process for compliant documentation Assist in processing and tracking employee benefit enrollment, reviews, promotions, terminations, and status changes Draft companywide communications and announcements under the direction of HR Manager and Executive Leadership Maintain and prepare internal and external job postings Source applicants for open requisitions. Assist in communicating status updates to Hiring Managers and Executive team Serve as backup to Front Desk Administrator Assist in Company event planning as assigned by HR Manager and Culture Manager Assist Leadership team on Ad-hoc projects as assigned and approved by HR Manager Order, track, report and maintain reference and background checks File personnel records and maintain employee data in HRIS systems such as BambooHR, HR drive, ADP. Enter/update all employee information in various systems and trackers (including employment related changes) in a timely manner Participate in short and long- term planning; responsible for administrative functions to policy development and implementation, and personnel administration Knowledge, Skills and Abilities Effective oral and written communications skills Demonstrated resourcefulness in setting priorities Skilled in organization and time management Exercise flexibility and ability to multitask; can work within an ambiguous, fast-moving environment, while also driving toward clarity and solutions Qualifications and Requirements 2-5 years of Human Resources and Recruiting administration experience Bachelor's degree preferred Position Type and Expected Hours of Work This is a full-time position, on-site located in our Irvine office Business hours are Monday through Friday, 8:00 AM - 5:00 PM, this position regularly requires long hours and frequent weekend work
