Broadcast Media Company located in Irvine, CA is seeking a top
notch Office Manager / Executive Assistant for a 3 month maternity
leave coverage position. This position is immediate. We are looking
for candidates that can interview later today or tomorrow over
We are looking for an individual with demonstrated professionalism,
a true desire to assist in several day to day tasks as well as
larger projects related to office needs, facilities, receptionist
work and light marketing assistance. High energy and flexibility as
well as poise, confidence and the ability to interface with
clients, senior leaders and co-workers in a professional,
approachable, confidential, and positive manner are a must.
--- Monitor and coordinate maintenance of office equipment.
--- Assist staff with IT helpdesk tickets when needed.
--- Monitor and maintain office supplies inventory.
--- Communicate with staff procedures and available online/offline
--- Coordinate shipping services
--- Project manage facilities projects such as remodels, furniture,
work orders with management company.
--- Organize and maintain storage rooms.
--- Keep office area, kitchen, non-desk areas clean and
--- Screen and route incoming phone calls to the appropriate
person/division, take and distribute accurate messages, log contact
information if required in CRM
--- Organize incoming correspondence and interoffice materials.
-Determine the priority and respond appropriately.
--- Greet public and clients and direct them to correct staff,
provide parking validation, directions
--- Coordinate meetings and special events including scheduling,
agenda creation, logistics, catering, space plans, off sites, and
log meeting minutes
--- Create and modify/format documents electronically including
letters, memos, trip reports, itineraries, status reports,
presentations (PowerPoint), spreadsheets (Excel), and other related
documents (may be of a highly confidential/critical nature)
--- Copy, scan, file, and track a variety of business documents
--- Perform minor reporting functions with structured lists and/or
--- Manage confidential business matters and files
--- Domestic and International Travel Management and Expense Report
--- Make recommendations as needed regarding appropriate action and
--- Track and follow up on various action items to ensure schedules
and due dates are met
