GeoKinetics is a rapidly-growing engineering firm seeking an Engineering Administrative Assistant in our Irvine, CA office. This position will report directly to Senior Engineer and Senior Project Manager-level personnel. Job Summary Under direct supervision, the Engineering Administrative Assistant performs or assists with technical, paraprofessional and administrative tasks. Provides and delivers support to senior engineers, geologists, and project managers. Distinguishing Characteristics This is an intermediate level role, suitable for candidates with exposure to engineering principals, permitting, and basic level management of initiatives. The right candidate will be resourceful, have above-average follow through, and ideally have an interest in continuing on to a project management or engineering role in the company. This position will operate under relatively close supervision and perform tasks that require strong research capabilities, a can-do attitude, as well as the basic functions of a standard administrative assistant. As experience is gained, assignments become more diversified and require the application of a growing body of technical engineering-related knowledge. Essential Duties & Responsibilities Provides administrative, logistical, and technical assistance and support to professional engineering staff in project management tasks, permitting, and general administrative duties. Communicates and coordinates with public entities, vendors, and other engineers/clients as needed. Prepares and maintains records and files; providing information to senior level staff as required/requested. Assists with the preparation of reports, assessments, and data summaries. Assists with the procurement and maintenance of various permits, licenses, and certifications. Updates and maintains engineering forensic litigation files. Works in tandem with senior personnel to produce and prepare project-specific records. Performs other duties as assigned. Job Requirements / Skills Specialized data gathering, research, and data maintenance techniques. Reading and interpreting technical documents and materials Communicating clearly and effectively, both orally and in writing. Preparing clear, concise and comprehensive correspondence and other written materials. Experience with permitting with government municipalities. Intermediate to advanced knowledge of Microsoft Office Suite, most specifically Excel. Standard office practices and procedures, including light phones, filing and recordkeeping. Establishing and maintaining effective relationships, working effectively with other employees. Working effectively with other employees.
