Job Description:

DescriptionOfficeTeam is looking for an industrious, organized candidate to run our front and back office. As an Office Clerk, you will perform a variety of duties to help keep the office running smoothly. Our ideal candidate is resourceful, efficient, & dynamic.Duties and Responsibilities Greet, direct and assist visitors (clients, employees, vendors and other guests) to the right office, meeting room, or personnel and take messages when staff is unavailable. Manage the office calendar. Setup and prepare meeting rooms, including ordering, providing snacks & beverages, testing presentation equipment, cleaning and stocking conference room. Post meeting cleanup. Answer telephone calls. Direct calls to the appropriate staff members and take accurate messages when staff is unavailable. Be comfortable using speaker system to page staff for calls or meetings. Process incoming and outgoing office correspondence (mail and packages). Prepare outgoing mail, packages, courier parcels and other deliverables using correct postage and packaging details such as certified mail or return-receipt-requested letters. Maintain records of office activities, incoming/outgoing package logs, and other requested administrative items. Operate office equipment, including photocopiers, scanners, printers, projectors, telephones, voicemail systems, and computers. Coordinate office repairs and maintenance with Landlord. Manage day-to-day maintenance of our leased printers and copiers which may include ordering supplies, troubleshooting problems, calling for repair, coordinating repair questions for the vendor and reporting hardware meter readings. Setup the office before opening hours (turn on all lights, conference room computers, printers, unload the dishwasher and start coffee. Make sure all copiers and supply stations are stocked, cleaned from the night before and tidy). Close each day by tidying all the conference rooms and shutting down equipment. Take office attendance daily to ensure calls, packages and guests get routed to the right staff members. Take inventory of office items and order materials, supplies, and services as needed. Keep kitchen and conference rooms organized, stocked and clean.Requirements Strong conversational telephone skills courteous, cordial, professional and helpful. Strong communication skills ability to interact productively with clients, consultants, vendors, supervisors, peers, and all other guests of the office. Presentation skills and public speaking skills desirable. Proficiency with Adobe Acrobat and Microsoft Office Suite (Word, Excel, and Outlook) is necessary. Superb time management, organizational skills and attention to detail. Reliable self-starter with proactive can do attitude and eagerness to contribute. Prior secretarial and/or clerical experience preferred.
