Job Description:

Irvine pharmaceutical company has an opening for a FT Office Administrative Assistant. Responsible for a variety of administrative, quality, inventory, and light maintenance duties, the Admin. Asst. will help with the assistance of overseeing the day-to-day operations of the organization. With over 20 years experience in the pharmaceutical industry, this company knows the business well and is positioned for growth. The company offers a great schedule, 7:00 a.m. - 3:30 p.m. Mon-Fri, benefits including catered lunch every Friday, group health insurance with employer contribution, paid holidays, sick leave, PTO. Wage band is $17 - $20 per hour DOE. Experience with QuickBooks Inventory and Microsoft Office Suite preferred. Drivers license and background check required. We are not able to support H-1B Visa's for this position.Job Requirements:Administrative/Quality Control:

  • Arranges meetings and appointments for Managing Director, coordinates schedule
  • Attends Annual and Bi-Annual Condominium Association Meetings and reports information back to Managing Director -
  • Efficiently and accurately handles all telephone inquiries while utilizing positive customer service
  • Provides support to employees including printer support, customer service support and oversees that all assignments are completed in a timely manner
  • Updating, organizing, and following up on Customer Licenses daily
  • Register and update all Company licenses in various states in the United States
  • Update registration for various countries to prepare Company for upcoming Tenders
  • Keep up-to-date on the Quality Control System for -
  • Assist with filing Inventory:
    • Manages the updating inventory log for the Irvine warehouse location
    • Work on discrepancies in inventory with accounting department and Warehouse Coordinator
    • Monthly spot check Company stock after monthly inventory is complete
    • Involved in the full process and inventory control for controlled substances
    • Work with vendors on recalled items
    • Updating and sending Pfizer tracking monthly
    • Separate and Process Returns for expired products.
    • Consolidating Inventory throughout different online sellers (Amazon and Shopify)
    • Sending and receiving
    • Creating invoices for product leaving the warehouse Maintenance:
      • Oversees and manages necessary office repairs; painting, construction, lights, electrical, etc. for multiple Company buildings
      • Orders all office, warehouse, shipping and breakroom supplies when needed or requested and keeps stocked weekly
      • Manages all office maintenance and ensures that the office stays tidy and organized at all time
      • Assertive and proactive character.
