Job Description:

Administrative Officer Overview: High energy, hardworking and positive Individual who will manage the below tasks as it relates to receptionist, administration and office services. Skills: High WPM and accuracy in typing, schedule management skills, and organizational skills. Proficiency with Microsoft Suite of products, particularly PowerPoint, Excel and Outlook. The individual must show strong communication and collaboration skills. Due to the varied tasks required of this role, the individual must be able to be confident making independent decisions on a daily basis, addressing the best way to handle specific tasks. Experience: Experience in administration is recommended but not required. Receptionist Greets all visitors and directs them to proper location (maintains master calendar for onsite visits) Signs for packages Coordinates deliveries Sends out Fedex packages Creates Fedex labels Picks up and distributes mail Drops off mail Handles routing all calls that come into main line Coordinates and orders monthly team lunches (1xmonth) Maintains parking pass list Hands out parking passes to visitors Administrative Orders business cards Orders marketing materials Orders holiday business cards, addresses, sends out (1xyr) Sets up meetings at corporate (sets up room: screen for presentation, water, prints out presentation material Assists with coordinating meeting time slots in Board Room Assists with calendar coordination for CEO Assists with setting up meetings and timekeeping Assists with additional projects for CEO Office Services Coordinates insurance approval with vendor & Building Management and deliveries Orders phones from Cox Works with vendors on delivery and installs Communicates with building management Disburses building management updates to corporate employees Takes monthly stock of office supplies (paper, toner, stamps, pens, stickies, etc.) Orders office supplies Takes weekly stock of kitchen supplies (coffee, snacks, water, paper towels) Orders kitchen supplies Onboarding: Assists with onboarding new hires as it pertains to desk, supplies, phones, laptops, etc. Onboarding: Handles paperwork and submission for building access for new employees Handles reviewing monthly parking validation invoices and handing off to controller for payment Handles reviewing monthly check for parking validations and hands off to parking company Opens tickets with building manager Additional administrative duties as requested by management
