Position Summary:

The Department of Radiological Sciences at UC Irvine Health School of Medicine is dedicated in conducting innovative basic, translational and clinical imaging research. The department's research programs are located in laboratories Irvine campus and UC Irvine Medical Center. They are supported by funding from the National Institutes of Health (NIH), non-profit agencies and other extramural sources.

Uses skills as a seasoned, experienced research administrator to independently develop and / or oversee research proposals, awards, and / or transactions related to contract and grant management and maintains contract and grant records in compliance with institutional research sponsor policies. Works on proposals and awards of diverse scope where analysis of data requires thorough understanding of complex regulations. Completes and approves transactions for signature by manager or other authorized institutional official. Works on complex proposals and awards that may involve multiple investigators and / or multiple sub awards. Guides less experienced staff. Central Role (CR): Is eligible for delegated signature authority (may vary by campus). Department Role (DR): Typically works on complex proposals such as grants / contracts which require task budgets, option years, multiple investigators and multiple sub awards. Under general supervision of the Finance Manager and CAO, and be directly responsible to the Chair, and Vice Chair of Research of the Department of Radiological Sciences, incumbent is responsible for the financial pre- and post-award administrative management of major federal, non-federal, and private contracts and grants as well as other extramural/Intramural funds that support various research activities of the department. As part of the Department s business staff the incumbent has independent decision making authority, policy analysis and interpretation and problem solving responsibilities that requires on-going interaction with all levels of department and university staff. Incumbent is responsible for providing specific direction to faculty and staff to assure compliance with contracts and grant costing principals. This requires knowledge in agency specific contracts and grants policies, material management to include purchasing and equipment acquisition principals, personnel/payroll policies and procedures, research subcontracting concepts, indirect cost principals and policies and practices related to Uniform Guidance/UG and Federal CAS requirements. In addition, will be responsible for Post Award Administration: Independently control financial and budgetary transactions for federal, state, and private contracts and grants. Perform financial analysis, prepare budgetary and financial reports, and determine appropriate courses of action to stay within cost and schedule commitments. Organize and maintain proposal and associated financial files for funding associated with assigned PIs. Ensure compliance with all granting agency guidelines or UC policies and procedures. Independently responsible for the administration, accounting, reconciliation, and reporting of assigned contracts. Review & analyze changes in University, Federal and agency-specific guidelines for applicability to current contract and grant awards and contracts. Disseminate information to appropriate faculty and staff and provide direction as to changes in procedures to assure compliance. Interact with campus or agency personnel when necessary to resolve unclear areas of policy. Perform year-end financial closing functions for all assigned contracts and grants. Thorough planning and analysis, maintain a positive balance in all contracts. Take corrective actions as needed. Responsible for ensuring all financial records required for contracts and grants are complete, accurate and maintained for accounting and auditing purposes. Respond to audit inquiries and facilitate actions necessary during audit reviews.

Compensation Range:

$4,550.00 - $6,941.67

5 to 7 years of experience with a BA/BS in related field, or equivalent experience.

Bachelor's degree in related area and / or equivalent experience / training.

Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.

Thorough knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.

Ability to manage significant volume of transactions.

Ability to perform complex financial analysis and customized reporting.

Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports.

Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas.

Maintains current knowledge of compliance regulations in all areas of research administration.

Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.

Demonstrated knowledge of effective grant funding processes, procedures and techniques

Must pass a background check.


Strong writing skills in a variety of styles to draft persuasive text for a variety of audiences while ensuring adherence to funding sponsor s guidelines.

Demonstrated organization skills and ability to prioritize assignments when faced with heavy workload and competing deadlines

At least one year experience at UCI, with working knowledge of Kuali Coeus electronic system for the development and submission of proposals.
